1. Introduction
The Society of Radiopharmaceutical Sciences (SRS) is committed to protecting the privacy of its members, event participants, and website visitors. This Privacy Policy explains what personal data we collect, how we use it, who we share it with, and how long we retain it. It applies to all personal data collected through our website (srsweb.org), membership database, event registrations, and email communications.
SRS members and participants are located around the world, including within the European Union and European Economic Area. This policy is designed to comply with applicable international privacy laws, including the EU General Data Protection Regulation (GDPR), Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), and other applicable national and regional frameworks.
2. What Data We Collect
Member Data
When you join the SRS or register for an event, we collect personal information you voluntarily provide, which may include:
● Full name and professional title
● Email address and mailing address
● Phone number
● Institutional affiliation, career stage, and areas of scientific interest
● Payment information (processed securely through our registration platform)
We collect only what is necessary to serve you effectively and administer SRS programs.
Non-Member Data
The SRS may also hold data for non-members who have interacted with us through event registrations, abstract submissions, or other communications. When this data is less than three years old, we may use it to send meeting notifications, website updates, or other information we believe is relevant. When non-member data is more than three years old, we will seek explicit consent before continuing communication.
The use of cookies and analytics
Our membership portal uses cookies — small data files stored on your device — to verify member status and maintain your session. You may instruct your browser to refuse cookies, but doing so may prevent access to the Members Only section of our website.
3. Legal Basis for Processing (GDPR)
For individuals located in the European Union or European Economic Area, the SRS processes personal data on the following legal bases as defined under GDPR Article 6:
● Contractual necessity: Processing required to fulfill membership obligations, event registrations, abstract submissions, and travel award administration.
● Legitimate interests: Processing necessary to communicate relevant scientific news, organizational updates, and opportunities to current and former members, where these interests are not overridden by your rights.
● Consent: Where we solicit optional communications (such as newsletter subscriptions or meeting registration opt-ins), we rely on your explicit consent. You may withdraw consent at any time without affecting the lawfulness of prior processing.
● Legal obligation: Processing required to comply with applicable laws, including financial record-keeping requirements.
Where processing is based on legitimate interests, individuals retain the right to object at any time (see Section 9).
4. How We Use Your Data
Personal data collected by the SRS is used exclusively to serve our members and advance our mission. Specific uses include:
● Administering membership accounts and renewals
● Communicating about SRS meetings, events, and scientific opportunities
● Processing abstract submissions and travel award applications
● Notifying members of election processes and governance updates
● Providing access to journal content and member resources
● Sending the SRS newsletter and other organizational communications
We do not use personal data for commercial marketing purposes and do not sell member data under any circumstances.
5. Email Communications and Opt-Out
The SRS communicates with members and registered contacts via email for the following purposes:
● Membership renewal reminders and account updates
● Meeting and event announcements
● Scientific news and organizational updates
● Abstract submission and travel award notifications
Email communications are sent through Constant Contact. All marketing and newsletter emails include an unsubscribe link at the bottom of each message. You may opt out of non-essential communications at any time by clicking this link or by contacting us directly at cmetzger@srsweb.org.
Please note: members who opt out of marketing emails may still receive transactional communications related to their membership account, event registrations, or abstract submissions, as these are necessary to fulfill our obligations to you.
6. Third-Party Data Processors
The SRS works with the following third-party service providers who may process personal data on our behalf. Each has confirmed their commitment to GDPR compliance and recognized data protection standards:
● X-CD Technologies — membership management, abstract submission, and event registration platform
● Constant Contact — email communication and newsletter distribution
● Elsevier — journal publishing and access management
● Squarespace — website hosting and analytics
● Jotform — online application forms (e.g., travel award applications)
The SRS does not make member or non-member data available to corporate partners or other organizations for marketing purposes without the individual's explicit consent.
7. International Data Transfers
The SRS is headquartered in the United States and uses US-based third-party processors. Personal data collected from individuals located in the European Union, European Economic Area, United Kingdom, or other jurisdictions with data transfer restrictions may be transferred to and processed in the United States.
Where such transfers occur, the SRS takes reasonable steps to ensure that adequate protections are in place, including reliance on processors that maintain Standard Contractual Clauses (SCCs) or equivalent safeguards recognized under applicable law.
By providing your personal data to the SRS, you acknowledge that your data may be transferred to and processed in jurisdictions outside your country of residence. If you have questions about international transfers of your data, please contact our Data Protection Officer (see Section 10).
8. Data Retention and Deletion
The SRS retains personal data for as long as necessary to fulfill the purposes outlined in this policy:
● Active member data is retained for the duration of membership and for a reasonable period following lapse to allow for renewal.
● Non-member data is retained for up to three years from the last point of contact, after which consent is required to continue communication.
● Event registration and abstract submission data is retained for up to five years for historical records and reporting.
● Financial transaction data is retained in accordance with applicable legal and accounting requirements.
Individuals may request deletion of their personal data at any time. Upon verified request, data will be removed from active systems within a reasonable timeframe, except where retention is required by law.
9. Your Privacy Rights
Depending on your location, you may have the following rights regarding your personal data. The SRS is committed to honoring these rights regardless of where you are located.
Rights Under GDPR (EU/EEA Residents)
Individuals located in the European Union or European Economic Area have the following rights under GDPR:
● Right of access: You may request a copy of the personal data we hold about you and an explanation of how it is used.
● Right to rectification: You may correct or update your personal data at any time.
● Right of erasure ('right to be forgotten'): You may request that your personal data be deleted from our systems.
● Right to restrict processing: You may request limited use of your data if you believe it is inaccurate or has been collected unlawfully.
● Right to data portability: You may request that we provide your personal data in a structured, commonly used, machine-readable format, or that we transfer it directly to another organization where technically feasible.
● Right to object: You may object to your data being used for analytics, direct marketing, or processing based on legitimate interests at any time.

Rights Under PIPEDA (Canadian Residents)

Rights for All SRS Members and Participants
Regardless of location, all individuals whose data is held by the SRS may:

● Request corrections or updates
● Request deletion of their data from active SRS systems
● Opt out of non-essential communications at any time

We will respond to all privacy-related requests within 30 days. For requests from EU residents under GDPR, we will respond within the timeframes required by applicable law.
11. Changes to This Policy
This Privacy Policy is effective as of March 2026 and replaces all prior versions.
The SRS reserves the right to update this policy at any time. Changes will be posted to srsweb.org/privacy-policy and, where material, communicated to members via email. Continued use of SRS services following any update constitutes acceptance of the revised policy.
